A sharp, durable ID card starts with the right ID card printing machine, but the printer is only one part of the job. Cards that peel at the edges or tear at the lanyard hole usually fail after printing, because of a rough cut, weak lamination or a badly placed punch.

This guide covers every machine in an in-house ID card setup for schools, offices and print shops: what each one does, what to check before you buy, and three sample setups by daily volume. It is written by the team at IVYPrints, a Jaipur-based ID card and lanyard manufacturer that supplies cards, sheets and machines across India.

What Machines Do You Need for ID Card Printing?

Your machine list depends on one early decision: how you print.

Printing route	How it works	Machines needed	Best for
Direct-to-card	A card printer prints straight onto ready-made PVC ID cards or thermal PVC cards	Card printer, slot punch	Schools, offices, daily issuing
Sheet-based	You print on PVC inkjet sheets, laminate them, then cut and punch	Inkjet printer, lamination machine, card cutter, slot punch	Print shops, large batches, low start-up cost

Direct-to-card printing gives finished cards in seconds with no cutting. Sheet-based printing needs more machines and more skill, but it costs less to start and works out cheaper per card on large batches.

ID Card Printers: The Core of Your Setup

The ID card printer decides print sharpness, colour accuracy and cost per card. There are three main types.

Dye-sublimation (direct-to-card) printers

A dye-sublimation printer uses heat to transfer colour from a ribbon directly onto the card surface. It is the best fit for schools, offices and daily use, with sharp photos, durable cards and consistent colour. Most models add a clear protective overlay in the same pass.

Retransfer printers

A retransfer printer prints the image onto a clear film first, then fuses the film onto the card. This gives true edge-to-edge printing and handles uneven surfaces such as RFID cards and chip cards. It has the highest machine and running cost. Read more in our post on ID card printing trends for 2026.

Inkjet printers

A photo inkjet printer fitted with a PVC card tray prints on inkjet PVC cards, or prints on PVC inkjet sheets for lamination. It has the lowest entry price, which suits small shops and events, but it is slower per card and needs lamination for durability.

Printer type	Print quality	Speed	Durability	Entry cost	Best for
Dye-sublimation	High, 300 dpi	Fast	High with overlay	Medium	Schools, offices
Retransfer	Highest, edge to edge	Medium	Highest	High	Smart cards, high-security IDs
Inkjet	Good	Slow	Needs lamination	Low	Small shops, events

What to check before buying an ID card printer

Resolution: 300 dpi for crisp photos, barcodes and QR codes.
Dual-sided printing: only if you add details on the back.
Ribbon cost and prints per ribbon: this sets your real cost per card.
Speed: match your busiest day, not your average one.
Encoders: magnetic stripe, smart chip or RFID encoding only if your access or attendance system reads them. See our magnetic stripe cards and smart cards.
Local service: check ribbon availability and repair support near you. Evolis, Zebra, HID Fargo and Magicard are widely used brands.

ID Card Cutters for Clean Edges

Standard ID cards follow the CR80 size: 85.6 mm by 54 mm and about 0.76 mm thick, the same as a bank card. Your ID card cutter must hit these dimensions every time, or cards will not fit printers, readers and ID card holders.

Die cutter: stamps out the full card shape from a sheet in one press. Fast and accurate, so it suits most card shops.
Corner cutter: rounds the corners only. Cheap, and it makes cards safer to handle.
Sheet trimmer: a paper sheet cutter trims straight edges but takes more skill to get consistent sizes.

Look for hardened steel blades or dies, CR80 accuracy, a safety guard and easy-to-find replacement parts. If you print on ready-made cards, you can skip the cutter.

Lamination Machines for Lasting Cards

Lamination protects the print from water, sweat and scratches, and it makes tampering harder. For sheet-based printing it is essential.

Pouch lamination: an A4 pouch laminator with card-size pouches is the simplest start for small volumes.
Sheet lamination: the printed PVC inkjet sheet is layered with a core sheet and a PVC overlay, then fused in a lamination machine and die cut. This gives a rigid finish close to a printed PVC card.

When you compare laminators, check for:

Support for 75 to 250 micron pouches
Adjustable temperature, to avoid bubbles and cloudiness
Four rollers for even pressure
Quick warm-up and a reverse or jam-release function

Many card printers apply a clear or holographic overlay while printing. If yours does, a separate laminator is optional. You can browse all compatible ID card sheets for the sheet route.

ID Card Punching Machines

A slot punch cuts the hole where the lanyard clip or hook attaches. A crooked or torn slot can ruin a good card.

Handheld slot punch: cheap and portable, fine for a few hundred cards.
Desktop slot punch: consistent slots with less effort for daily use.
Electric punch: worth it only when manual punching slows you down.

Look for the standard slot size of about 3 mm by 13 mm, an adjustable position guide, replaceable punch heads and a chip tray. Check that the slot fits the lanyards and dog hooks you plan to use. IVYPrints supplies a lanyard punching machine for this step.

Sample ID Card Printing Setups by Volume

Setup	Machines	Daily volume	Best for
Starter	Inkjet printer, pouch laminator, die or corner cutter, handheld punch	Up to 100 cards	Small print shops, events
School or office	Dye-sublimation card printer, desktop punch, optional corner cutter	100 to 500 cards	Schools, colleges, offices
Production	Dual-sided or retransfer printer, electric cutter and punch, encoder if needed	500 cards and above	Print bureaus, large institutions

Buy for the volume you expect in a year, not today. Prices vary by brand and region, so get written quotes from two or three suppliers. You can see all the ID card machines IVYPrints supplies in one place.

Should You Buy ID Card Machines or Outsource Printing?

Buy machines if you issue new cards every week. Outsource if you print once or twice a year in bulk, such as yearly school ID cards or a batch of employee ID cards.

Factor	Buy machines	Outsource
Volume	Daily or weekly issuing	Yearly or occasional batches
Upfront cost	Machines plus consumables	None
New joiner cards	Same day	Depends on supplier turnaround
Staff needed	One trained operator	None
Quality control	In your hands	Supplier's process

Many institutions do both: they outsource the yearly bulk run and keep a small card printer for new admissions, replacements and visitor cards.

ID Card Machine Buying Checklist

How many cards will you print on your busiest day?
One side or both?
Do you need a chip, magnetic stripe or RFID?
What is the full cost per card, including ribbon, sheets and laminate?
Is service and ribbon supply available nearby?
Have you seen a finished sample from the exact machine?

Maintenance Tips for ID Card Machines

Keep blank cards sealed and hold them by the edges. Dust and fingerprints cause print gaps.
Clean the printer rollers at every ribbon change.
Replace worn blades and dies early, before edges turn rough.
Store sheets and pouches flat, away from heat and humidity.

Frequently Asked Questions

Which machine is used for ID card printing?

Most schools and offices use a dye-sublimation PVC card printer, which prints directly on CR80 PVC cards. Print shops on a budget often use an inkjet printer with PVC inkjet sheets, then laminate, die cut and punch the cards.

What is the standard ID card size?

The standard ID card size is CR80: 85.6 mm by 54 mm and about 0.76 mm thick. It is the same size as a debit card and fits standard holders, printers and card readers.

Do I need a laminator with a PVC card printer?

Not always. Many PVC card printers add a protective overlay while printing. A laminator is mainly needed for sheet-based printing.

What is the difference between a die cutter and a corner cutter?

A die cutter cuts the full card shape from a printed sheet in one press. A corner cutter only rounds the corners of a card that is already cut to size.

Can an ID card printer print on RFID cards?

Yes. Most card printers can print on RFID card and chip cards. Writing data to the chip needs a printer with a built-in encoder.

What is the cheapest way to start ID card printing?

The sheet-based route has the lowest start-up cost: an inkjet printer, PVC inkjet sheets, a pouch laminator, a cutter and a handheld punch. It suits up to about 100 cards a day.

Should I buy machines or outsource ID card printing?

Buy if you need cards daily or weekly. Outsourcing usually costs less for occasional or yearly bulk jobs.

Conclusion

The best ID card printing setup matches your real volume, quality standard and budget. Start with the printer, add the cutter, laminator and punch your method needs, and budget for consumables and service.
